How to organize meetups in Telegram

If meetups live only in chat threads, organizers burn time on clarifications. Here is a workflow that covers most of the routine.

1. Lock the format

Decide what repeats weekly: coffee, sports, a tour, networking. One clear format is easier to announce and scale.

Set capacity early. Open signup without a limit turns into no-shows.

2. Move signup out of the feed

“+1” in chat gets lost. An event card with a join button becomes the source of truth: who is in, waitlisted, or cancelled.

Reminders a few hours before start cut accidental no-shows.

3. Assign roles

You need at least one person creating meetups and one marking attendance. In MeetBot that happens in the mini app.

FAQ

What if there is no community yet?

Start with one weekly meetup and a short “who it is for” note. Rhythm first, topic expansion later.

Do we need a separate bot?

For your own brand, yes. It keeps the community product separate from the organizer’s personal chats.
